How Do I Send Payout and Capital Call Notices?

For SponsorsBy Syndelo

How to create a branded PDF notice for each investor after a payout is approved or a capital call is issued, publish it, and track who opened it.

A notice is a one-page PDF letter on your letterhead for each investing account. It's filed to the account's documents under Notices, so investors find it in their portal next to their statements.

  • A payout notice shows the net payout, how it's paid (the method and the last four digits of the bank account), the split between income, return of capital and interest, any tax withheld or other deductions, the account's payout totals this year and since it invested, and its pledge, ownership and amount paid in.
  • A capital call notice shows the amount due and due date, the purpose, the pledge, how much is called to date including this call, what's left of the pledge, and how to pay. It never includes bank details. Investors see the current instructions in their portal.

Your logo, brand colors and company address come from the General page of Settings.

Create Notices

  1. Open the payout from Payouts once it's approved, or open the capital call from the investment's Capital Calls tab once it's issued.
  2. In the Notices section, click Create Notices.
  3. Set Up: check the Notice Name and Notice Date. Both start from the payout or call.
  4. Message: optionally write a message for the top of every notice. Use Insert Field to add the investor's name, the account, the investment, the amount and dates; each notice fills them in. To reuse a message, click Save as Template. Next time, choose it from the saved messages and click Use Message, or Delete it.
  5. Preview: pick an account on the left to see its actual PDF. Click Download to save a copy.
  6. Leave Email investors a link to their notice on to send the Payout Notice or Capital Call Notice email, then click Publish.

Your draft is saved as you go. Close the window and click Continue Draft to pick it up later, or Discard to remove it. Nothing reaches investors until you publish.

Publishing files each PDF, adds a notification to each investor's portal and, if you chose to, emails them once. Publishing again never files or emails twice. Large payouts finish in the background; the section shows how many are filed so far.

Track Notices

Each published notice shows the date, who published it and, for every account, whether the notice was Filed, Emailed, and Opened. Click View to see an account's PDF. Opened means someone with access to that account downloaded or viewed the notice.

Correct a Notice

If a notice was wrong, click Correct Notices, say What Changed, review the notices, and publish. The corrected PDFs replace the earlier ones in each investor's documents and say what changed at the top. The earlier issue stays in the notice history, marked Replaced.

ILPA Spreadsheets for Institutional Investors

Some institutional investors load notices into their own systems using the ILPA capital call and distribution template. To send one, open the investor's profile and, under the investing account's preferences, turn on ILPA Spreadsheet. From then on, every published notice for that account also files an Excel spreadsheet laid out like the ILPA template: the notice details, each line item for this notice, year to date and since inception, and the pledge, paid in and unfunded amounts. Line items Syndelo doesn't track separately, such as fees inside a call, are left blank. It's off by default.

See an Investor's Transactions

On an investor's profile, Transactions lists every capital call, payment in and payout across all of their investing accounts. Filter by type. Click a payout to open the whole payout with everyone it paid, or click Notice to open that account's notice.
