Cash Controls keeps a reserve in each bank and checks reviewed bank statements before new spending. When a check fails, new payouts, cash-out requests, fund moves, and unsent ACH payments pause. It is on the Accounting tab of Money.
Steps
- Import each bank's statement and have another person review it. See Reconcile the Bank and Close the Books.
- Upload a document that supports the policy to the investment.
- Go to Money, open Accounting, choose the Investment, and click Set Cash Controls Policy (or Review Cash Controls Policy to revise it).
- Enter the Maximum Statement Age (Days), Policy End Date, Supporting Policy Document, and Reserve Basis and Review Notes.
- Enter a Reserve for each bank and choose how each bank is used.
- Click Send for Review. A different finance reviewer approves it.
What the numbers mean
- Posted Cash: cash on the books.
- Existing Obligations: money already owed or committed.
- Policy Reserves: cash you chose to keep.
- Available for New Spending: what is left. It shows Needs review if a check fails.
Why spending is paused
- The policy expired. Prepare a revision.
- A bank has no statement, its latest statement is unreviewed, or it is older than the limit.
- Bank statements end on different dates. Match all banks through the same date.
- Confirmed cash does not cover reserves and obligations.
Good to know
- Confirmed cash cannot exceed the books. Deposits add room only once the bank confirms them.
- Payments the provider already accepted are still tracked.
- Once you use these checks, later rule changes must keep them.
