How Do I Bring AI Notetaker Calls Onto Contact Records?

For SponsorsBy Syndelo

Connect Fathom, Fireflies or Granola so notes from investor calls land on each investor's contact record.

If your team records investor calls with an AI notetaker, Syndelo can put each call's summary, action items and transcript on that investor's contact record. Each teammate connects their own account.

Connect Your Account

  1. Open Settings and choose Integrations under Connections.
  2. In AI Notetakers, choose Connect next to your notetaker.
  3. Paste your API key and choose Connect.

Connecting needs permission to edit the CRM. Syndelo checks the key, then imports your calls from the last 30 days and looks for new ones about every 15 minutes. Choose Sync Now to check right away.

| Notetaker | Where to Find the Key | What You Need | |---|---|---| | Fathom | User Settings, then API Access | Any Fathom plan | | Fireflies | Integrations, then Fireflies API | A Fireflies account | | Granola | Desktop app, Settings, Connectors, API Keys | A Business or Enterprise plan |

Otter shows Coming Soon. Otter only opens its API to Enterprise workspaces through an account manager, so Syndelo can't connect to it yet.

What Comes Across

Each call shows on the contact's Activity, under All Activity and Meetings, with its summary, action items and a link back to the source. Choose Show Transcript to read everything that was said. Choose Create Task next to an action item to turn it into a task on that contact.

Granola doesn't send action items. Fireflies only sends calls you organized.

Syndelo doesn't import calls where everyone is on your team, and it doesn't import your private Granola notes.

How Calls Find the Right Contact

Syndelo matches the email addresses of the people on the call to your contacts. A call with two contacts shows on both records. Teammates are never matched, even if they're also contacts.

Meetings to Review

A call that matches no contact goes to Meetings to Review, on the Integrations page. It shows who attended and when, but not what was said, because it might not be an investor call.

  • Choose Link Contact to put it on a contact.
  • Choose Dismiss if it doesn't belong. This erases it from Syndelo, and it won't come back on the next sync.

To take a call off a contact, open it on the contact's Activity and choose Remove From Contact. The next sync won't add it back. If it's on no other contact, it returns to Meetings to Review.

Who Can See These Notes

Only your staff. Investors never see them, in the portal or anywhere else.

Anyone on your team who can open a contact can read its meeting notes. Transcripts can only be read in Syndelo. They aren't available through API keys or AI assistants, and they aren't included in communication exports or workspace exports. Connecting, disconnecting and changing links are all recorded in Workspace Activity, and so is each time someone opens a transcript.

Check that everyone on the call knows it's being recorded, and that this meets the rules where you and they are.

Disconnect

Choose Disconnect. Syndelo deletes your key right away and asks what to do with the notes you imported:

  • Keep Notes leaves them on your contact records.
  • Delete Notes removes every meeting this account imported.

Tasks you already created from action items stay either way. Someone who can edit workspace settings can also disconnect a teammate's account. If a teammate leaves or loses CRM edit access, Syndelo deletes their key on its next check and keeps their notes.

Webhooks

When webhooks are on for your workspace, notetakers tell Syndelo about a new call as soon as it's ready. Fathom and Granola set this up automatically when you connect. For Fireflies, choose Set Up Webhook and paste the URL and signing secret into your Fireflies webhook settings. The secret only shows once.
