Inventory The Source Data
Export contacts, investing entities, ownership positions, commitments, contributions, distributions, and documents separately where your existing platform allows it. Keep an untouched copy of every export. Record the source system, extraction date, currency, and the period each file covers.
Create a mapping sheet before touching the target system. For each field, identify the target field, whether it is required, and any transformation. Preserve original identifiers in a reference column so you can trace an imported record back to its source.
- Normalize email casing and whitespace without using email as the sole entity identifier.
- Keep legal entity names distinct from contact display names.
- Document whether dates are transaction dates, settlement dates, or posting dates.
- Confirm that negative values represent the same thing in both systems.
Import Relationships In A Deliberate Order
Start with contacts and investing accounts, then establish the relevant investments and ownership records. Load financial activity only after the parent relationships are confirmed. Otherwise, a perfectly formatted payment can land on the wrong account.
Test a small sample that includes an individual investor, an entity with multiple contacts, and a person using more than one funding source. Correct mapping mistakes in the sample before importing the rest of the portfolio.
| Stage | Acceptance Check |
|---|---|
| Identity | Contacts and legal owners are distinguishable. |
| Relationships | Each position belongs to the correct account and vehicle. |
| Activity | Amounts and dates reconcile to the source ledger. |
| Documents | Each file is visible to the intended recipient only. |
| Access | Sponsor and investor permissions match the approved access list. |
Reconcile Totals And Exceptions
Compare record counts and financial totals by vehicle, investing account, and period. A portfolio-wide total can hide offsetting mistakes: one account may be overstated while another is understated. Investigate unmatched records rather than forcing them into a miscellaneous account.
Decide whether you are bringing over complete transaction history or an opening balance. Do not import both the full history and its opening balance as new capital; that double-counts the same activity. Historical performance calculations need dated cash flows and may not be reproducible from opening balances alone.
- Check contributions and distributions separately rather than only net cash.
- Review duplicate identifiers and repeated imports before committing a batch.
- Keep a correction log with the original value, revised value, reason, and reviewer.
- Reconcile a completed historical statement against the new output.
Plan The Cutover And Investor Communication
Choose a cutoff date and identify any activity arriving during the transition. Keep the source platform available for reference until the migration is accepted and the agreed retention requirements are satisfied. Confirm export access before terminating a vendor subscription.
Invite a small group to test the investor portal before sending the full announcement. Explain where to sign in, what records are available, and how to report a discrepancy. Make a second person review document assignments; a correct balance does not establish that document access is correct.
Syndelo supports importing contacts and financial records with mapping and review. Treat imports as one step in the transition: source exports, document transfer, reconciliation, and investor communication still need accountable owners.
